How to Address RSVP No Shows to Club Meetings?

Anything else you like to have on the Agenda that needs to be discussed or voted on should be posted here also

From the bylaws:

1.5 Voting Rights
A member has voting rights if they have been a current member prior to the business meeting. The Board of Directors may override the meeting attendance requirement with a 75% vote.
A lifetime member always has voting rights.

Unless otherwise provided in section 2.5, members must be physically present at the business meeting to vote. This must be in-person attendance to vote. Electronic attendance of the meeting may be allowed by executive decision of the Board of Directors, for informational purposes only. Members attending remotely may vote for elections by the provisions in section 2.5 of the bylaws. Write in votes are not permitted.

2.5 Absentee voting for elections
Lifetime members may cast absentee ballots only for election of members of the board of directors according to the instructions given and for the candidates listed in the meeting notice described in section 2.3. Absentee ballots must be made at least 48 hours prior to the business meeting.

I realize the business meeting is not until October but has anyone actually looked at the agenda items thus far?

Discussion regarding Lifetime Status continuing?

Members - we really need to get some thoughts on this.

The board has decided to put the Lifetime Status on the agenda to discuss doing away with Lifetime status.

We need to hear your thoughts all?
Should we do away with it? Why?
Should we keep it? Why?

Replacing not removing is my opinion.

The history is that it was created in to promote meetings back during a time they were greatly needed and it worked. I questioned if this was in fact still helpful or hurting and could it be done better.

Administratively, since a number of those lifetime people over the years have become inactive it's now creating a few issues. First that we still have to report all of those lifetime inactives on our insurance which raises the cost to the club. Second that there is no incentive to host again.

This expanded to changing the incentive from lifetime status to say a free two year membership.

We felt feedback or brainstorming with the club outside our bubble would be worthwhile.

Regarding the lifetime membership, I wonder if there are any stats on the behaviour of lifetime members hosting multiple times vs not? Depending on how well a member’s tank is doing, they may be more or less likely to host. And do lifetime members tend to be longer term members? It is really a three way balancing act of incentive vs effort to host and ease to attend other meeting during the year. The incentive needs to be higher than the ease to attend meetings to maintain membership. Personally, age of tank, size of home, social anxiety, and ease of attending other meetings makes 2 year membership benefit not much of a scale tipper. But I may be the exception.

On the other hand, personalized advice about your tank/s, appreciation of members, and club devotion play a part as well. Good grief, is there a minimum attendee count allowed? Maybe I should host....lol.

From my beginning with the club, I’ve thought the limitation on paid membership odd. Was it thought to be too easy to pay and not get involved that prompted that limitation?

Wow, only the BoD showing up to the yearly business meeting? Nobody cares about the lifetime membership status changing or being removed/lessened? No other issues or concerns?

Well then I guess I'm glad we are so great as is.

I do not get very passionate about lifetime membership. I do wrestle with ways the club could promote more trading among fellow hobbyists. I don’t have the answers, but believe the frag swap is the forum for it to happen. Just not sure of a good way to do it as selling for cash is a great motivator to move corals. There has got to be other incentives to promote actual trading.... Next swap I am going to try more trading action on my posts..

Maybe we need to have a frag swap-swap organizer. Put out a pile of name tags for people to put their name on, and six checkboxes:

Name: Jeremy
Have for trade: [x] SPS [ ] LPS [ ] Softies
Interested in: [x] SPS [ ] LPS [ ] Softies

At a glance, you can see what they have to trade and what they want! Easy convo starters.

There is always the option of posting want to trade my x for your x in the classifieds vs cash.

The business meeting is coming up in 4 weeks.
This does count as a club meeting and will start/ renew your membership.
