Guidelines for Hosting a Virtual Meeting / Tank Tour (1 Viewer)

With the current limitations for physical gatherings, TCMAS is looking into providing a virtual means for members to gather and talk about their tanks and reefing in general.

Here is the statement issued by the BOD concerning virtual meetings.
***THIS IS TEMPORARY***

The following has been agreed to so that memberships can be maintained and people are able to obtain membership.

The Bod have agreed that Virtual Meetings can earn membership ONLY when there is a health pandemic which limits attendance of in person meetings.
Virtual meetings are TEMPORARY until such time as Health Organization/Government state that 25 or less people can gather together inside.

Host of virtual will get 1 year membership
Attendees of virtual will get 6 month membership
In person meetings are still the same; host gets lifetime and attendees get 1 year.

Virtual meetings will NOT do gift card giveaways, that's only for in person meetings.

Virtual meetings still need to go through the Secretary to be set up.

It will be the Virtual Host's responsibility to complete the sign in sheet for everyone that was present at their virtual meeting and email/text picture of sign in sheet to Secretary so that memberships can be updated.

It is Mandatory that the virtual host have working video.

If there are any questions please contact the BOD.

So if you're interested in hosting a virtual meeting, please contact the secretary to schedule a date and time.
At this time, the meetings are being hosted through a member's Zoom account if you need an unlimited time frame. If the host wants to host on their own account, meetings may be limited to 45 minutes.

The information below is a guideline for the host to assist them in hosting the meeting / tank tour.
The host should provide the information highlighted in red when scheduling the meeting / tank tour.
The host will need to provide the information highlighted in green after the meeting to record membership attendance.



Virtual Tank Tour Meeting Information

(Member) is hosting a virtual tank tour on the Zoom app.
  • Date:
  • Time:
  • Featured Aquarium: (Photo if desired.)
  • Discussion Topic: (If applicable.)

Schedule for virtual meeting.
  • Host introduction:
    Name: (Real name, user name, nicknames, etc.)
    Location: (Where you live.)
    Hobby experience: (When did you get your first tank? When did you join TCMAS?)
  • Featured Aquarium:
    Size: (How many gallons?)
    Important dates: (When did you set it up? How long has it been running?)
    Livestock: (Lists of fish, corals and inverts.)
    Feeding: (What do you feed? How often?)
    Filtration: (What's keeping the water clean?)
    Lighting: (What's lighting up the display?)
    Maintenance routine: (Water changes, glass cleaning, filtration cleaning, etc.)
    Supplements/dosing: (Anything being dosed or added?)
    Future plans: (Upgrading? New fish or corals?)
  • Attendance: (Record members that are still present on the Sign-in Sheet.)
  • Q&A Session: (If the attendees have any questions for the host, they can ask them here.)
  • Topic Discussion: (If applicable.) (If the host has anything that they would like to discuss or ask the attendees, do so here.)

Rules for attending a virtual meeting.
  • Please show up and join the meeting on time. (Currently limited to only 45 minutes.)
  • Be aware of your surroundings and limit distractions.
  • Be respectful of host and attendees.
  • Mute your microphone when you’re not speaking.
  • Identify yourself when speaking and speak up; loud and clear.

I have sent in my request to host another virtual meeting.
Stay tuned for the date, time and make sure you sign up on the RSVP list so you can get the necessary information to join the Zoom meeting.
 
For anyone considering hosting a virtual tank tour meeting, here's a guideline to help you out with topics to discuss.
This is just a suggested guideline, you're welcome to deviate from it as long as you talk about your tank and have a discussion with the audience.
